Purpose
Managing personal data in relation to employees during recruitment and employment by the Council -
Description
As someone subject to an offer of employment or work with us, your information is needed to allow us to:
- Produce statements of particulars
- Make payment of salaries
- Help with budget management and in the preparation of grant claims
- Making sure our, conditions and employment policies and procedures are adhered to
This will be done with compliance of the Equality Act, the Employment Rights Act, the Working Time Regulations, the Trade Union Act, the Rehabilitation of Offenders Act, the Asylum and Immigration, TUPE Regulations. This information is held electronically, with an interface between IT systems (Talent Link This may include information relating to:- Health

- Religion or philosophical beliefs
- Person’s sex life or sexual orientation

Staff terminating their employment with the Council or moving to another job role within the Council are asked to complete an exit interview questionnaire. Your information is needed to allow us to
• identify patterns or trends in staff turnover
• provide data for workforce planning

If you don't give us your information
We will not be able to employ you if you dont provide personal data and we would not be able to carry out our statutory duties in relation to employment. -
Conditions for processing personal information
Contract - we need to process this personal information to fulfil our contract with an employee (Article 6(1)(b) of GDPR).Special categories of data relating to employment are processed under Article 9(2)(b) of GDPR. -

Who we share your information with
In line with relevant legal obligations and or data sharing agreements, we may need to share information with other organisations, such as:
- Occupational health provider
- Registered professional bodies
- Disclosure Scotland
- External organisations receiving staff under TUPE Regulations
- Agency provider
- Banks and building societies
Some limited personal data may also be shared with partner organisations (eg. for circulation or distribution lists) and contractors as appropriate to your role within the council and we will provide personal data to other organisations to obtain services such as travel, accommodation and use of vehicles.
