Description
The purpose of the Homes for Ukraine Sponsorship Scheme and the Scottish Super Sponsor Scheme is to assist with the humanitarian response to the situation in Ukraine and ensure displaced people from Ukraine are matched with accommodation/housing in Scotland and provided with appropriate welfare and support services, necessary information will also be gathered relating to their housing requirements. The purpose of the Homes for Ukraine scheme is to let individuals offer accommodation to displaced people from Ukraine by allowing them to sponsor individuals or families to stay with them. The purpose of the Warm Scottish Welcome Scheme (Scotland’s Super Sponsor Scheme) as part of the UK Government’s Homes for Ukraine is to provide accommodation and care to displaced people of Ukraine in Scotland by removing the need for applicants to be matched to a named individual before they are cleared to travel to the UK through the visa system.
What information do we hold?
Hosts:- Name
- Address
- Details of family members that live at the property, to include ages
- Contact details including; telephone number, email address
- Information relating to any safeguarding, security checks and home assessments required for your suitability to provide support
- Bank details to process the monthly thank you payment
- Criminal allegations, convictions or offences
Guests:
- Name
- Address
- Contact details including telephone number, email address
- Date of birth
- Visa / Passport Information
- Family member information, including any children
- Disability/medical/health information
- Ethnicity / race
- Information relating to any safeguarding concerns
- The name of a school any children will be attending
- Photographic images

We receive most of this information from you, but we also receive information from:
How do we use your data?Hosts:
- Accommodation checks
- Address validation checks
- Disclosure and Barring Service (DBS) checks
Any other checks required by to assess your suitability as a host.
In addition to the checks above the Council will also:
- Provide support to Ukrainian guests (e.g. safeguarding, assistance in accessing public services, assistance in accessing education, employment and training)
- Administer funds associated with the scheme (e.g. cash allowances for guests, ‘thank you’ payment scheme).
- Assist with re-matching and move-on accommodation if required.

Conditions for processing personal information
We are using the following lawful basis under UK GDPR to process personal data:
Article 6(1)(e) of the UK GDPR – processing is necessary for the performance of a task carried out in the public interest or in the exercise of official authority.We may also process special categories of personal data which may include information about political beliefs, health, sexual orientation, religious beliefs, and biometrics. Where we do so our lawful basis is Article 9(2)(g) of the UK GDPR – processing is necessary for reasons of substantial public interest. -

Who we share your information with
The Scottish Government, for purposes of information gathering and reporting on those who have registered under the Homes for Ukraine or Scottish Super Sponsorship schemes.
If your data is being used as part of the Warm Scottish Welcome matching service, we will transfer some information to the Convention of Scottish Local Authorities (COSLA), who are helping the Scottish Government match displaced individuals with hosts in Scotland.
Data will be shared with Social Work services so that checks can be carried out when host details are shared with the council.
The NHS so they can check and assess local services in your area.
Police Scotland as and when required.
Other services working with the Highland Council to deliver the programme of Ukrainian resettlement.

How long we hold your information
Once the scheme has ended, we will no longer require your data. However, this may be used by Highland Council or Scottish Government for reporting purposes relating to the scheme.
